In short: The difference between two venue deals is not in the price per person, but in what is not written in them. The most common surprises at events in Arad County come from four areas: minimum billable number, beverage policy, extension fees, and what happens if it rains. Request written answers to all 20 questions below.
Capacity and space
- What is the maximum capacity with tables set?, not the "standing" capacity? Those are very different numbers.
- What does the room look like with my exact number of guests? Ask for a photo from an event of a similar size.
- There is a separate dance floor. or is space freed up between tables?
- What outdoor space is available? and is it included in the price?
- Is another event being held on the same day? If so, how are the two groups and parking separated?
Menu and drinks
- The price per person includes what, exactly? Ask for the menu written down, by course, with weights.
- What is the minimum number of billable guests? The most common source of unexpected costs.
- Is the drink included, for consumption or brought by me? If I bring it, what is the service charge?
- Special menus are being prepared (vegetarian, vegan, gluten-free, for children) and at what cost?
- Can I bring the cake from outside? Is there a fee?
- There is a tasting menu before the event and is there a charge?
- What happens to the leftover food?
Personnel and organization
- How many waiters are assigned? for my number of guests?
- Who is the person responsible on the day of the event? and can I have her phone number?
- What time can I come in for the set installation? and by what time must the space be vacated?
- What can be attached to walls, ceilings or pillars? Are open flames, confetti, cold fireworks allowed?
Money and contract
- How much is the advance, when is it paid and under what conditions is it refunded?
- Is there an extension fee after a certain time? What time is it and how much does an extra hour cost?
- What happens if I need to reschedule? the event? Is the advance transferred?
- What is the plan if it rains? — and how many guests can fit in the covered space?

Site visit: what do you check on site?
- Go at the same time of day as your event — the light changes everything.
- Check the toilets. They are a very good indicator of the overall standard.
- Count the parking spaces and compare with the number of guests.
- Listen: is there noise from the street, from another room, from the kitchen?
- Check where the power outlets are, especially for DJ, projection, and decor.
- Ask where the vendors — photographer, DJ — are staying and where they eat.

Frequently asked questions
What is the minimum billable number at an event location?
It is the number of servings that the venue charges regardless of how many guests actually arrive. It should be clarified in writing before signing the contract, as it is the most common source of unexpected costs.
What should a contract with an event venue contain?
Price per person with detailed menu, minimum billable number, beverage plan, time slot and extension fee, advance payment and cancellation conditions, as well as the plan for inclement weather.
Can I bring my own drink to the event?
It depends on the location. Some allow it, with a service charge per bottle or per person. It is one of the questions that most influences the final budget.
What do I check during the on-site visit?
Go at the same time of day as the event, check the restrooms, count the parking spaces, listen to the background noise, and locate the DJ and projection outlets.
How many waiters are needed at an event?
It depends on the type of service, but the number should be specified in the offer. It is a direct question that a serious location answers without hesitation.
