In short: A graduation banquet is usually organized for 40-100 participants — students, teachers, and, in the case of small classes, parents. It is booked 2-4 months in advance, because May and June are the busiest months of the year at any event location in Arad County.
Who organizes and how are responsibilities divided?
The structure that works, regardless of the level of study:
- A committee of 3-4 people — no more. In elementary grades, parents; in high school and college, students.
- A single financial manager, which keeps written records of receipts.
- A single point of contact with the location. Nothing complicates a reservation more than five people calling separately and asking for different things.
- A program manager — music, artistic moments, speeches.
Money: the part that generates the most tension
- Determine the cost per person before collecting anything. Ask for a written quote from the venue, add the costs of music, decor, and photographer, and divide by the confirmed number.
- Keep a visible record — a shared table with who paid, updated immediately.
- Set a firm deadline. The venue requires a down payment; the committee should not cover it out of pocket.
- Clarify from the beginning what happens to the money of those who no longer come. It is the most common source of conflict.
- Provides a reserve of 5-10% for unforeseen expenses.
Evening program
| Hour | time |
|---|---|
| 18:00 | Arrival, group photos — taken at the beginning, while everyone is getting settled |
| 19:00 | The word of the headmaster or teachers |
| 19:30 | Main course |
| 20:30 | Class artistic moment, fun prizes, photo retrospective |
| 21:30 | cake |
| 22:00-01:00 | Party |
The group photo is taken at the beginning. It's the one rule I repeat at every banquet: by the end, half of the participants have left, and the rest no longer look like the photo you'll keep for 20 years.
The role of teachers
At the 8th grade and high school banquets, teachers are guests of honor. Some practical details:
- Reserve a table for them, don't spread them out among the students.
- There are no costs charged to teachers — they are shared among participants.
- Let them know in advance about the evening's schedule, especially if there is a time when they are given something.
- Many people leave around 10:00 p.m. Schedule the moments that involve them before this time.
Rules for banquets with minor students
In the 8th grade and high school classes under 18, the same principles apply as for an adult:
- Serving alcohol to minors is prohibited by law. Establish a written policy with the venue.
- The presence of at least two adults throughout the event.
- End time announced to all parents, along with mode of transportation.
- An adult designated as a point of contact, with the phone number communicated to parents.
Booking the location
The period May-June is the peak season. Recommendations:
- Book 2-4 months in advance, especially for weekends.
- Consider Thursday and Friday — are more available and, as a rule, more advantageous.
- Request in writing: price per person, what is included, minimum billable number, end time, alcohol policy.
- Check the dance floor and the power of the sound system — a banquet without a ring doesn't work.
At the La Cuscrii Guesthouse We organize banquets on the covered terrace, for up to 100 participants, with free private parking for parents who bring and pick up students. See also the guide for adults, which covers the same rules regarding minors.
Frequently asked questions
How far in advance should a graduation banquet be booked?
2-4 months in advance. May and June are the busiest months of the year, and weekends are the first to fill up. Thursdays and Fridays remain available for longer.
Who pays for the teachers at the banquet?
The cost of teachers is usually shared between the participants. Teachers are guests of honor and are not charged a contribution.
Can alcohol be served at a banquet with underage students?
No. Serving alcoholic beverages to anyone under the age of 18 is prohibited by law. The policy must be established in writing with the venue prior to the event.
When is the group photo taken?
At the beginning of the evening, right after arrival. By the end, some of the participants have already left, and the photo loses its value.
How many participants does a graduation banquet have?
Generally between 40 and 100 people, depending on the number of classes involved and the presence of parents, which is common at 8th grade banquets.
