In short: A conference room is chosen based on five criteria, in this order: capacity in the arrangement you need, field-tested technical equipment, controllable natural light, coffee break logistics, and participant accommodation in the same location. The price per day is the last criterion, not the first — a cheap room without a functional projection costs more than an expensive one.
Capacity depends on arrangement
| Arrangement | Space per person | Suitable for |
|---|---|---|
| Theater (rows of seats) | The most compact | Presentations, announcements, without writing |
| Classroom (tables and chairs) | About double the theater | Trainings, laptop sessions |
| U-shaped | The most generous | Discussions, groups under 25 people |
| Round tables | Generous | Group workshops, interactive sessions |
When requesting a quote, please specify ARRANGEMENT, not just the number of participants. A "60-person" room may mean 60 in theater format and only 30 in classroom format.
Technical check: do it on the ground
Don't accept a paper list of amenities. Go to the gym and actually check:
- Projection. Plug in your laptop. Check which cable is needed (HDMI, USB-C) and bring your own adapter.
- The sound. If you're going to have video with sound, test it. Speakers go missing more often than you'd expect.
- microphone — more than 30 participants required, even if the room seems small.
- The sockets. Count them and check where they are. In a one-day training, everyone charges their laptop.
- The Internet. Test the speed actually, in the room, not at the reception. Ask for the password in advance.
- Flipchart or whiteboard, with markers that write.
- Air conditioning and heating — check if you can control the temperature in the room.
Light and fatigue of the participants
The constantly underestimated detail: a room without natural light tires participants after 3-4 hours. A room with windows and the ability to block them for projection is ideal. Also check if the sun is shining directly on the screen at the time you will be presenting — a common problem that compromises an entire presentation.
Breaks: where the day is lost or won
- Coffee break every 90 minutes. Non-negotiable for full day sessions.
- Coffee area outside the hall, but close. If it's far away, the breaks get longer; if it's in the hall, people don't get up.
- Water available at all times on the tables.
- Lunch at the same location. Going out on the town takes an extra 30 minutes and disperses the group.
- Salty snacks, not just sweet ones — in the afternoon, the difference is felt.
Accommodation of participants
If the event lasts two days or if participants come from other cities, accommodation in the same venue solves several problems at once: no time is wasted on travel, the evening session becomes possible, and morning delays disappear.
Check in advance: how many rooms there are, what type they are (single, double), whether breakfast is included, and until when a room can be cancelled free of charge. La Cuscrii Guesthouse There are 8 rooms with 20 beds, and the rates are published on rates page.
Access: the criterion that matters for outside participants
If people from other cities or abroad are coming to the event, the distance from the airport and the highway becomes a primary criterion. La Cuscrii Guesthouse is located 200 m from Arad International Airport (ARW) and 200 m from the A1 highway exit, with free private parking under video surveillance — which simplifies logistics for participants coming by car or plane.

Frequently asked questions
How many people can fit in a conference room?
It depends on the arrangement. The same room can accommodate about twice as many people in a theater format as in a classroom format, and the U-shape format requires the most space per person.
What technical equipment needs to be checked before the event?
Projection tested with your own laptop, sound, microphone for groups of over 30 people, number and position of outlets, internet speed measured in the room, and temperature control.
At what interval are coffee breaks held?
Every 90 minutes for full day sessions. The coffee area should be outside the room, but close to it.
Why does natural light matter in a training room?
A room without natural light tires participants after 3-4 hours. A room with windows that can be closed for projection is ideal.
