In short: A children's party lasts 2 hours for 3-5 years old, 2.5-3 hours for 6-9 years old and 3-4 hours for 10 years and older. The structure that works for any age: 30 minutes of free play upon arrival, 45-60 minutes of organized activity, meal, cake and another 30 minutes of play before leaving. Parties longer than that invariably end with tired children and stressed parents.
Duration, depending on age
| Age | DuRATion | Recommended number of guests |
|---|---|---|
| 1-2 years | 1.5-2 hours | Family and 2-3 children — the party is actually for adults |
| 3-5 years | 2 hours | 8-12 children, with parents present |
| 6-9 years | 2.5-3 hours | 10-15 children, parents can leave |
| 10-13 years | 3-4 hours | 12-20 children |
The rule of thumb for guest count for young children is: number of guests for each child's birthday, plus two. It works surprisingly well up until about age 8.
The program that keeps the kids busy
- 0:00-0:30 — arrival and free play. The kids don't all arrive at once. Don't schedule anything during this time; let them unwind.
- 0:30-1:15 — main activity. Animator, workshop, organized games or, most simply, outdoor play space.
- 1:15-1:45 — lunch. Children eat quickly; don't set aside an hour.
- 1:45-2:00 — the cake. Peak time. Notify parents in advance so they can be present with their phones.
- 2:00-2:30 — free play and staggered departure.
The cake doesn't come out at the end. If you leave it for last, half the kids will have already left or will be too tired to enjoy it.
Children's menu
Simple and recognizable. What is actually eaten:
- Small-cut mini sandwiches, no complicated sauces
- Baked or fried potatoes — invariably the first to be finished
- Stripped schnitzel, meatballs, mini-pizza
- Cut fruits: grapes, watermelon, strawberries — they are consumed much more than you expect
- Crudities with dip, only if they are already cut into sticks
- Water and lemonade; very sweet juices go badly with cake
Don't forget about parents' menu. At parties for children under 6, adults stay — and if they don't have anything to eat, they leave early and take the kids with them. A snack for the adults and coffee solves the problem.
Classic mistakes
- The party is too long. The most common. Children get tired, conflicts arise, crying and parents are stressed.
- Too many scheduled activities. Children also need unstructured time.
- The cake at the end. See above.
- Too many guests. With 25 children, no one supervises anything.
- Gifts opened during the party. It takes 30 minutes and generates comparisons between children. They open after.
- No plan for rain, if the party is outside.
- No space for parents. The adults stand, awkwardly, and quickly leave.
What really matters about location
- Safe and visible play space from the adult tables. That's the number one criterion.
- Covered area, so that the rain doesn't cancel the party.
- Separate space for parents, where they can sit and drink a coffee.
- Parking — at a children's party, arrivals and departures are concentrated in short intervals.
- Accessible toilet and a place to change, if there are small children.
to La Cuscrii Guesthouse There is a playground in the yard, green spaces, horse-drawn carriages, and a covered terrace — exactly the combination that allows children to run around while adults sit at the table and watch them the whole time. See also anniversary page.
Invitations: two details that matter
Write on the invitation start time and end time. Without an end time, the party stretches unpredictably. And it explicitly mentions whether the parents are staying or dropping off the kids — it's the question every parent asks themselves and that few address directly.
Frequently asked questions
How long should a children's party last?
Two hours for children aged 3-5, 2.5-3 hours for 6-9 years old and 3-4 hours for those over 10. Longer parties end with tired children and conflicts.
How many children are invited to a birthday party?
A rule of thumb for young children: as many guests as the child's age, plus two. Beyond 15-20 children, supervision becomes difficult.
When is the cake brought out at a children's party?
About 30 minutes before the end, not at the end. If you leave it last, some of the kids will be gone or too tired.
What food is served at a children's party?
Mini sandwiches, fries, sliced schnitzel, mini pizzas, and lots of sliced fruit. Also include a snack for the parents if they're staying at the party.
Do you have a playground for children?
