In short: A wedding budget is built on a percentage basis, not by adding up bids. The breakdown that works in most cases: 50-55% location and menu, 10-12% photography and video, 8-10% music, 8-10% decor and flowers, 5-7% outfits, 4-5% invitations and stationery, the rest is a reserve. Without a reserve of 8-10%, any wedding budget is exceeded.
Dividing the budget into categories
| Category | Percentage of budget | Observation |
|---|---|---|
| Location + menu + drink | 50-55% | The largest line, scales directly with the number of guests |
| Photography and videography | 10-12% | The only category that remains after the event |
| Music (DJ/band) | 8-10% | The band costs 2-3 times as much as a DJ |
| Decor and flowers | 8-10% | It can be reduced most easily without any real loss |
| Outfits and preparations | 5-7% | Includes hairstyle, makeup, accessories |
| Invitations, testimonials, stationery | 4-5% | It is often underestimated |
| Cake and candy bar | 3-4% | It depends on the number of servings, not the appearance |
| Book | 8-10% | Mandatory, not optional |
Why the number of guests is more important than any negotiation
Over half of the budget is directly proportional to the number of people. This means that removing 20 guests reduces the total budget by approximately 10-12% — more than you would get by aggressively negotiating with all the suppliers combined.
Practically: before you ask for the first offer, set the number of guests. Without it, all the offers you receive are inconclusive and you will find yourself comparing things that do not compare. See also small wedding guide, if you consider a narrow format.
The expenses that almost everyone forgets
- Supplier menu — photographer, cameraman, DJ, band: 4-8 additional servings
- Accommodation for the bride and groom on the wedding night and sometimes the parents
- Transportation between the three locations of the day (civil, church, restaurant)
- Tips for the serving staff
- Church taxes and the priest's fee
- samples — hair, makeup, menu tasting
- Non-refundable advances, if you change a provider along the way
- Supplier relocation, if they come from another city
Taken together, these lines often amount to 5-8% of the total budget. Therefore, the reserve is not a luxury.
Where can you cut without being seen?
- Day of the week. A wedding on Friday or Sunday costs noticeably less than on Saturday, at the same quality.
- Month. The period from May to September is the most expensive and the most crowded. April, October and early November offer better conditions.
- Seasonal flowers. The same amount buys twice as much volume if you choose what's in season.
- Number of menu items, not their quality.
- Digital stationery — electronic invitations instead of printed ones, except for elderly relatives.
- Videography — a well-made short film is more valuable and cheaper than a complete package that you won't see again.
Where it's not worth saving
- The photographer. It is the only investment that increases its value over time.
- Food and drink. It's what guests specifically remember about your wedding.
- Sound system. A poorly audible system compromises speeches and the ring.
- Coordination of the day. Brides and grooms cannot coordinate their own wedding.
How to request a comparable offer
To be able to compare two locations, ask each one exactly the same thing, in writing:
- Price per person, with detailed menu by course
- Drinks regime: included, for consumption or brought by you, with the corresponding tax
- What is included in the room rate: basic arrangement, staff, sound system, cleaning
- Additional fees: cake brought in from outside, extension after a certain time, decoration
- Advance payment, cancellation and rescheduling conditions
- Minimum number of billable guests
The last point is where the most surprises come in. Many venues charge a guaranteed minimum, regardless of how many guests actually arrive.
Related costs: guest accommodation
If you have guests from other cities, accommodation is a consideration even if you don't pay for it. A location that has rooms on the same premises solves two problems simultaneously: guests don't drive after the party and they don't leave early to catch the road. At Pensiunea La Cuscrii, the 8 rooms are in the same courtyard with the terrace, with rates published on rates page.

Frequently asked questions
What percentage of the wedding budget goes towards the location and menu?
Between 50% and 55% of the total budget. It is the line that scales directly with the number of guests, so it is also the one over which you have the most control.
What budget should I have for a wedding?
Minimum 8-10% of total. Covers vendor menus, tips, transportation, church taxes, and last minute expenses that occur at each event.
Is it cheaper to have your wedding off-season?
Yes. Weddings in April, October, and November, as well as those held on Fridays or Sundays, have significantly lower costs than those on summer Saturdays.
What is the minimum guaranteed number of guests?
This is the number of servings that the venue will bill even if fewer guests arrive. It should be clarified in writing before signing the contract.
What costs are most often forgotten in the budget?
Menus for the photographer, cameraman and music, tips, transportation between locations during the day, church fees and accommodation for the bride and groom on the wedding night.
